Last Updated: 30 April, 2025
Welcome to OUTDOOR WHISPERER
These Terms & Conditions (“Terms”) govern your use of our services and participation in any journey, adventure, or experience curated by us. Please read them carefully — they’re here to build transparency, clarity, and trust between us.
By confirming a booking with Outdoor Whisperer, you acknowledge that you’ve read, understood, and agreed to be bound by these Terms.
1. Who We Are
Outdoor Whisperer is a boutique adventure and experiential travel company. We design and guide transformative journeys — from Himalayan treks to coastal escapes, jungle trails to family retreats. Every offering is crafted with soul, safety, and a deep respect for nature and people.
2. Acceptance of Terms
By booking or participating in any of our programs, you agree to follow these Terms. If you’re booking on behalf of others, you confirm that you have their consent and are authorized to accept these Terms on their behalf.
3. Eligibility to Book
You must be at least 18 years old to book a journey. If minors are included, a parent or legal guardian must provide written consent and accompany them. Some programs may have specific age, experience, or fitness prerequisites — these will be clearly mentioned on the journey page.
4. Booking, Payments & Confirmation
A non-refundable deposit (typically 25% of the total trip cost) is required to confirm your spot. Certain trips may have unique deposit rules, which will be communicated at the time of booking.
The remaining balance must be paid in full 14–30 days prior to the departure date unless otherwise specified.
We accept payment via bank transfer, UPI, and select credit/debit cards. All payments must be made in Indian Rupees (INR) unless agreed otherwise.
A booking is confirmed only upon receipt of written confirmation from Outdoor Whisperer.
Prices listed are indicative and may vary based on group size, season, customizations, or logistic changes.
5. Cancellations & Refunds
If you cancel:
30+ days before trip start: Full refund minus non-refundable deposit
15–29 days before: 50% refund
Less than 15 days: No refund (though partial rescheduling may be considered case-by-case)
If we cancel:
You’ll receive a full refund or option to reschedule — your choice.
No refunds for:
No-shows
Voluntary withdrawal after trip starts
Disruptions due to weather, natural events, or political issues
See our Detailed Cancellation Policy for full terms.
6. Custom Journeys & Group Bookings
Custom itineraries (private treks, family retreats, corporate offsites) follow a tailored planning and payment process:
Once the itinerary is approved and deposit is made, changes may involve extra costs.
Rescheduling is subject to availability and feasibility.
7. Trip Changes & Flexibility
Outdoor travel involves uncertainty. We reserve the right to:
Modify itineraries, activities, or schedules
Change accommodations or transport providers
Replace guides or local partners
All changes are made keeping participant safety and experience in mind. Flexibility is part of the adventure.
8. Health, Fitness & Safety Responsibility
You are responsible for:
Ensuring you are medically and physically fit for your chosen journey
Disclosing any relevant medical conditions in advance
Following our prep and packing guidelines
We may deny participation if a traveler poses a risk to themselves or others — especially on high-altitude or physically demanding routes.
9. Travel Insurance
We strongly recommend that all participants purchase comprehensive travel insurance, which must include:
Trip cancellation and interruption
Emergency medical treatment
Evacuation and rescue
Baggage loss or theft
Mandatory for:
High-altitude expeditions (above 3,000m)
International trips
Remote custom journeys
Proof of coverage may be requested before departure.
10. Environmental & Cultural Respect
We believe in Leave No Trace and ethical adventure. By joining our journey, you agree to:
Respect local communities, traditions, and nature
Avoid littering or causing environmental harm
Follow local customs, including dress codes and etiquette
We aim to give more than we take — every journey is built around sustainability.
11. Code of Conduct
We create safe, inclusive, soulful spaces for everyone. You are expected to:
Treat fellow travelers, guides, locals, and nature with kindness
Refrain from harassment, discrimination, intoxication, or disruptive behavior
Follow all instructions from guides or team leaders
Violation of this code can lead to removal from the trip without refund.
12. Assumption of Risk & Limitation of Liability
By participating in our journeys, you acknowledge that adventure travel carries inherent risks, including but not limited to:
Physical injury or illness
High-altitude effects
Unpredictable weather
Wildlife encounters
Emotional discomfort
Delays or changes beyond our control
You voluntarily accept these risks and release Outdoor Whisperer, its team, and partners from any claims for injuries, losses, or delays outside our control.
Our maximum liability is limited to the amount paid for the trip.
13. Force Majeure
We are not liable for delays, changes, or cancellations caused by circumstances beyond our control, including but not limited to:
Natural disasters (earthquakes, landslides, floods)
Pandemic-related restrictions
War or political unrest
Airline disruptions or strikes
In such cases, we will work with you to reschedule or adjust the journey — refunds will be assessed case-by-case.
14. Travel Documents & Visas
You are responsible for securing valid:
Passports (with minimum 6-month validity)
Visas, permits, and any necessary travel documents
Personal identification
Failure to produce valid documentation is not grounds for refund.
15. Intellectual Property
All content on our website — including journey descriptions, photos, blog posts, and branding — is the intellectual property of Outdoor Whisperer. Reuse or reproduction without written permission is prohibited.
16. Governing Law & Dispute Resolution
These Terms are governed by the laws of India, and any disputes shall be subject to the exclusive jurisdiction of the courts in New Delhi.
If a dispute arises, we encourage amicable resolution through dialogue. If unresolved, either party may choose to initiate mediation or arbitration under applicable Indian laws.
