Cancellation Policy

We understand that life is unpredictable — and so is outdoor travel. While your journey with Outdoor Whisperer is thoughtfully crafted in advance, we do our best to offer fair, flexible, and transparent policies regarding cancellations, refunds, and rescheduling.
1. Booking Deposit (Non-Refundable)
To confirm your booking, a 25% non-refundable deposit is required. This deposit is retained under all circumstances, as it contributes to permits, reservations, trip planning, and team commitments made on your behalf.
2. If You Cancel Your Booking
The following refund schedule applies if you choose to cancel:

Note: The non-refundable deposit (25%) is retained in all cases.
3. Carry Forward Option (Instead of Cancelling)
If you cancel 30+ days before your journey, you may choose to carry forward your entire paid amount — including the deposit — as trip credit for a future journey with us. This is the most flexible and value-retaining option.

Trip Credit Terms:
Valid for 12 months from your original trip date
Applicable to any upcoming group or custom program
Fully transferable to a friend or family member (upon request)
We strongly encourage this option if your travel dates are uncertain.
4. Cancellations Due to Emergencies
We recognize that emergencies can arise — including illness, accidents, or family loss. In such cases:
We may offer partial credit, rescheduling, or a compassion-based exception
Supporting documentation may be required
Each case is reviewed with care and discretion
Please reach out directly — we are here to help, not hide behind policy.
5. If Outdoor Whisperer Cancels a Trip
In rare cases, Outdoor Whisperer may cancel a program due to:
Natural disasters or severe weather
Regulatory or political restrictions
Safety concerns for the group
Minimum group size not being met
Unavailability of key instructors (for specialty programs)
In such cases, you will receive:
A 100% refund, or
The option to reschedule or shift your booking to a future program
Please note: We are not liable for independent expenses (flights, gear purchases, etc.), so we recommend purchasing travel insurance to cover such scenarios.
6. Requesting a Reschedule (Without Cancelling)
We’re happy to assist you in shifting your confirmed spot to another trip or date if:
You contact us at least 30 days in advance, and
There is availability on your alternate choice
For requests made less than 15 days before departure, we may treat the request as a cancellation, depending on logistics, trip type, and readiness.
7. How Refunds Work
Refunds are processed through the original payment method
Processing time is typically 7–14 business days
You will receive confirmation by email or WhatsApp once your refund is initiated
8. Non-Refundable Situations
Unfortunately, we cannot offer refunds or credits in the following situations:
No-shows at departure
Voluntary withdrawal after the trip has begun
Removal from the program due to misconduct or safety violations
Inability to participate due to missing documents (e.g., passport, visa, permits)
Interruptions due to weather or natural events beyond our control
